Privacy Policy

Last updated: January 2026

Martkos IT Ltd ("we", "us", or "our") is committed to protecting your privacy. This Privacy Policy explains how we handle any personal information collected through our website at https://martkos-it.co.uk (the "Site").

1. Information We Collect

We collect limited personal information through the Site in these ways:

Contact form submissions

When you submit the form at https://martkos-it.co.uk/contact/, we collect:

  • Name (required)
  • Email address (required)
  • Company name (optional)
  • Service of Interest (optional, selected from dropdown)
  • Message content (required, which may include additional personal details you choose to provide)

This data is submitted to enable us to respond to your inquiry.

Direct email communications

If you contact us directly via email (e.g., support@martkos-it.co.uk), we collect your email address and any personal details included in the message.

Website analytics

We use Umami, a privacy-focused, open-source analytics tool, self-hosted on our own infrastructure. Umami is designed to be GDPR-compliant by default and collects only aggregated, non-personal data including:

  • Pages visited and referral sources
  • Browser and operating system type
  • Device type (desktop, mobile, tablet)
  • Country of origin (derived from IP address, but the IP address itself is not stored)
  • Time and date of page views

We also track anonymous custom events to understand how the Site is used, such as contact form submissions (service category only, not message content or personal details), resource downloads, and product checkout interactions. These events are recorded without any personally identifiable information.

Umami does not use cookies, does not track users across websites, and does not collect any personally identifiable information. No individual user profiles are created. All data remains on our self-hosted infrastructure and is never shared with third parties.

We also respect your browser's Do Not Track (DNT) setting. If you have DNT enabled, no analytics data will be collected during your visit.

We do not use third-party analytics services (e.g., Google Analytics) or tracking cookies for marketing or profiling purposes.

Alternatively, you may opt out of analytics tracking using the toggle below (this applies to this browser regardless of your DNT setting).

Server logs

Our web server may collect standard access logs for security and error diagnosis. These may include IP addresses, browser type, and pages requested. Server logs are retained for a short period (typically weeks) and are used solely for technical troubleshooting.

Digital product purchases

We do not collect personal information from digital product purchases through our online store (powered by Lemon Squeezy). All payment processing, customer data collection, and order handling is managed by Lemon Squeezy. Please refer to their Privacy Policy for details. We may receive non-personal transaction confirmations (e.g., order ID, product purchased) but do not link these to any identifiable personal data.

We do not operate newsletters, user accounts, or other ongoing data collection features.

2. How We Use Your Information

We use the information we collect solely for:

  • Responding to your contact form submissions, emails, or inquiries.
  • Maintaining and improving the Site (via anonymised logs).
  • Complying with legal obligations, such as responding to lawful requests.

We do not use your information for marketing, profiling, automated decision-making, or any purposes unrelated to your direct interaction with us.

3. Legal Basis for Processing

Under UK GDPR, our processing is based on:

  • Legitimate interests (responding to your inquiries, basic site security/performance monitoring).
  • Legal obligation (where required by law).

4. Sharing of Information

We do not share your personal information with third parties except:

  • Where required by law or to protect our rights.
  • With service providers who act as processors under strict instructions (e.g., hosting/email provider for form handling and logs), subject to appropriate safeguards.
  • Lemon Squeezy handles all store-related data independently.

5. Data Retention

We retain personal information only for as long as necessary:

  • Contact form submissions and email inquiries: typically retained for up to 6 years for legitimate business, accounting, or legal reasons.
  • Analytics data (Umami): aggregated, non-personal analytics data is retained indefinitely for trend analysis. No personal data is stored.
  • Server logs: retained for a short period (usually weeks) for security and error diagnosis.

6. Your Rights

Under UK GDPR, you have rights including access to, rectification of, erasure of, restriction of, and objection to processing of your personal data, as well as data portability (where applicable). To exercise these rights, contact us at support@martkos-it.co.uk. We will respond within one month (extendable if complex).

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at https://ico.org.uk.

Martkos IT Ltd is registered with the ICO. You can view our registration at https://ico.org.uk/ESDWebPages/Entry/ZB046078.

7. Security

We implement reasonable technical and organisational measures to protect personal information from unauthorised access, loss, or misuse. However, no method of transmission over the internet (including form submissions) is 100% secure.

8. Cookies

The Site may use strictly necessary cookies or similar technologies for basic functionality (e.g., session management). Our analytics tool (Umami) does not use cookies or any form of persistent tracking. We do not use non-essential cookies, tracking pixels, or advertising technologies. Any future changes will be disclosed and consent obtained where required.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted here with a revised "Last updated" date. Continued use of the Site constitutes acceptance.
